Privacy Policy

BrainCognix (“we”, “us”) runs a live quiz platform at braincognix.com. This policy explains what personal data we collect when you use it, why we collect it, who we share it with and the choices you have. If anything here is unclear, email us at braincognix@gmail.com.

What we collect

When you create an account

• Your name, email address and role (tutor or student).
• Your password, stored only as a one-way hash. We never see or store the password itself.
• If you sign in with Google: your Google account ID, name and email address, as shared by Google. We do not receive your Google password or access to anything else in your Google account.
• Whether you agreed to receive product news from us, and when.

When you play or host a quiz

• The display name you enter when joining a game. You can join without an account.
• Your answers, how long each one took, and your points and ranking.
• Quizzes that tutors create, and the sessions they host.

Information tutors add about students

Tutors can keep a student roster with a student's name and, optionally, email address and phone number, added by hand or imported from a file. The tutor decides what goes in it and is responsible for having permission to share it with us.

Other things you send us

• Messages you send through the feedback box, with an email address if you give one.
• Your email address if you join our waitlist.

Collected automatically

• Technical data such as your IP address, browser type and the pages you request. We use it to keep the service running, protect it against abuse (for example, limiting repeated sign-in attempts) and fix problems.
• Error reports when something breaks, so we can find and fix the cause.
• Usage analytics about how people use the site, so we can improve it.
• Cookies and similar browser storage that keep you signed in, and that our analytics tool uses. We do not use advertising cookies.

How we use it

• To run the service: sign you in, run live sessions, calculate scores and show results.
• To send emails you need: a welcome email when you join, password reset links, and a results summary to a tutor after each session they host.
• To send product news and tips, only if you ticked the box to receive them. Every such email has an unsubscribe link.
• To keep the service secure, prevent abuse and fix errors.
• To understand how the service is used and make it better.

We do not sell your personal data, and we do not use it for advertising.

Who we share it with

Inside BrainCognix, a tutor can see the display names, answers and scores of everyone who joins their sessions. Players in a session can see each other's display names and scores on the leaderboard.

We also use a small number of service providers who process data for us, only to provide their service:

• Google, if you choose to sign in with Google.
• Zoho (ZeptoMail), to deliver our emails.
• Sentry, for error reports.
• PostHog, for usage analytics.
• Our hosting and infrastructure providers, which store and run the service.

Some of these providers are outside Nigeria, so your data may be processed in other countries. We only use providers that protect it appropriately. We may also disclose data if the law requires it.

Children and students

Many of our players are students, some of them under 18. Students can play without an account and only need a display name. We ask tutors and schools to make sure they have any permission they need from students or parents before adding a student's details to the platform. A parent or guardian who believes we hold their child's data without permission can contact us at braincognix@gmail.com and we will delete it.

How long we keep it

• Account data, quizzes and results: for as long as the account is open.
• Password reset links: they expire after 60 minutes and are removed once used.
• Technical logs and error reports: only as long as we need them to run and protect the service.

When you ask us to delete your account, we delete or anonymise your personal data, unless the law requires us to keep it.

Your rights

Under the Nigeria Data Protection Act 2023, and other data protection laws where they apply to you, you can ask us to:

• give you a copy of the personal data we hold about you;
• correct data that is wrong;
• delete your data or your account;
• stop sending you product news (use the unsubscribe link, or email us).

Email braincognix@gmail.com from the address on your account and we will respond within 30 days. You can also complain to the Nigeria Data Protection Commission, or to the data protection authority where you live.

Security

We protect your data with encryption in transit (HTTPS), hashed passwords, limits on repeated sign-in and reset attempts, and restricted access to our systems. No service can promise perfect security, so please use a strong password that you don't use anywhere else.

Changes to this policy

If we change this policy, we will update the date at the top of this page. If the change is significant, we will tell account holders by email or on the site.
